MaintenanceTech by K3YHOLD

AI runs the calls. You run the show.

MaintenanceTech is K3YHOLD’s AI maintenance operations platform for real estate. It takes a repair from the tenant’s report to a finished job — calling the tenant, finding and booking the vendor, and stopping for a person before money is spent.

Real recording · recorded line · demo persona

A real AI maintenance call, start to finish

2:24Recorded Aug 14, 2026

The AI is genuine K3YHOLD product audio. The caller is a demo persona on our own validation line — no third party was dialed. The video is condensed for time; the transcript is complete.

The record

  1. Caller at 08:49

    Hello.

  2. K3YHOLD AI at 08:49

Hi, this is the K3YHOLD AI assistant calling about the maintenance request you submitted today. Just so you know, this call is recorded for quality and training. Before we get into the details, can you confirm your 4-digit PIN to verify it's you?

  3. Caller at 08:49

    [reads their 4-digit PIN]

  4. K3YHOLD AI at 08:49

Thanks, Miguel. Let’s go through a few quick questions to get all the details right. First off, when did you first notice the slow draining and leaking under the sink—was it today, a few days ago, or longer?

  5. Caller at 08:49

    It was last night.

  6. K3YHOLD AI at 08:50

Got it. And since last night, have you noticed if it’s getting worse, staying the same, or coming and going?

  7. Caller at 08:50

It stayed about the same, it just smelled real bad.

  8. K3YHOLD AI at 08:50

That smell must be really unpleasant. Let's get this moving for you. Have you tried anything to fix it yourself so far?

  9. Caller at 08:50

I tried putting Drano in it. It didn't do anything. I tried lightly plunging it, I don't know if that's good or bad, but that didn't help.

  10. K3YHOLD AI at 08:50

Thanks for sharing that. Is there anything that seems to make the issue worse—like a certain time of day, running water elsewhere, or changes in the weather?

  11. Caller at 08:50

When I run the dishwasher, it definitely makes everything a lot worse.

  12. K3YHOLD AI at 08:50

Good to know. Now, is there anything the vendor should know before they come out—like pets, parking, gates, or times to avoid because of meetings or work-from-home?

  13. Caller at 08:51

Yes, we have a dog but I'll lock it up. Also there's a security gate—so the vendor just has to buzz my unit number.

  14. K3YHOLD AI at 08:51

Thanks for that. Now, last thing—let’s confirm your availability. We don’t have any preferred time windows on file yet. When would work best for the vendor to come out—mornings, afternoons, or evenings on certain days?

  15. Caller at 08:51

Anytime today would be great, or anytime Saturday or Sunday.

  16. K3YHOLD AI at 08:51

Got it. We've noted: Friday afternoon today, and any time—morning, afternoon, or evening—on Saturday and Sunday.

  17. Caller at 08:52

    Yes, that's correct.

  18. K3YHOLD AI at 08:52

Perfect, thanks for confirming. So to summarize—plumbing issue at 12B, noticed last night, smells bad, and running the dishwasher makes it worse. You’ve tried Drano and plunging. There’s a dog that’ll be locked up, and the vendor should buzz your unit at the security gate.

  19. Caller at 08:52

    Yes, that's correct.

  20. K3YHOLD AI at 08:52

Anything else you'd like me to add before I hand this to your property manager?

  21. Caller at 08:52

    No, that's all.

  22. K3YHOLD AI at 08:52

Perfect, thanks for taking the time. Your PM will be in touch soon—have a good rest of your day.

The AI does the legwork. A person makes every money decision.

When the work reaches a risky step — like spending at or over an owner's limit — it stops and waits for a recorded human decision. Owners can approve small repairs ahead of time with their own spending rules; that is still a person's choice, made in advance.

01 · The platform

One system underneath both.

Whichever offering you use, the same four things are true. These are screens, not promises.

A call transcript inside the product: the AI's opening line identifies it as an AI assistant, says the call is recorded, and asks the tenant to confirm a PIN. The PIN is shown redacted.
The calls, made and taken. Tenant intake, vendor sourcing, quotes, bookings, confirmations, follow-ups and after-hours emergencies. Each kind of call has written rules for what the AI may say and do, and every call opens by saying it is an AI and that the call is recorded.Real product screen · demo data
The automation panel on a job: what is running right now, what is about to ring a phone, and the control that takes the job offline.
Authority stays with a person. The AI does the legwork and stops at the line you draw. Spend at or over the limit waits for a human decision, and a PIN is required before anything commits money. Any job can be taken off the AI entirely, mid-flight.Real product screen · demo data
Step-up security in settings: a four-digit PIN is required before an action that commits money, with Face ID or Touch ID as a faster confirmation.
A record you can read back. Every call, every quote, every decision and who made it — kept as a record rather than a log you have to reconstruct. You can export a copy of your data at any time.Real product screen · demo data

Built to change its mind about models

Voice, reasoning, privacy and volume each pull toward different models. The platform was designed to be model-agnostic and capable of using open-source models, so the choice underneath can change without the product changing.

02 · Two ways to use it

Same platform. Different room.

Who is in the room changes the software. An owner running their own rentals decides alone; a management company answers to owners as well as tenants, and the work becomes coordination.

Owner-operator + Tenant

MaintenanceTech for Owner-Operators

For owners who run their own rentals. You are the manager and the owner, so the decisions are all yours.

One person holds every role. The AI does the calling and the chasing; you keep the decisions, and there is nobody to escalate to but you.

Property manager + Tenant + Owner

MaintenanceTech for Property Managers

For management companies. Three parties on every job, each seeing their own part of it.

A manager answers to owners as well as tenants. The work is coordination — whose decision this is, who is waiting, and what each of them is allowed to see.

The property manager dashboard on a phone: emergencies first, then the queue split four ways — yours, the owner's, waiting, and paused.

03 · Who sees what

Four apps — and none for vendors.

Each person sees only what they need. Vendors get a phone call, then the job sheet by email and/or text: no app, no login.

  • Tenant app

    Renters

Report a problem, answer questions, message the manager.

  • Property manager app

    Managers and coordinators

Watch every job, make decisions, review the AI's calls.

  • Owner app

Owners whose homes a manager runs

Approve or decline repair costs, set spending rules.

  • Owner-operator app

Landlords who run their own rentals

The manager's job and the owner's job in one place.

04 · Where we are

Everything, labelled.

What works today, what is built and switched off, what is coming, and what we do not offer by design. Every row is checked against our own capability record, as of September 21, 2026.

  • A guided intake form in the tenant's own app

What kind of issue, the problem in their words, whether a vendor may come in while they're out, how urgent it feels, a required photo or video, and when they're free for a visit.

    Works today
  • AI confirmation call — booked, or “Call me now”

The AI goes over the problem with the tenant and saves the answers to the job.

    Works today
  • Decision inbox

Everything waiting on a person, in one place.

    Works today
  • Trusted vendors first, then price-check calls to new companies

The AI asks about the job, trip fee, timing, and license and insurance — as two separate answers. It never books on a price-check call.

    Works today
  • Transcripts, live call following and call grading

Managers can read a call as it happens, review every word after, and grade each call.

    Works today
  • Owner approvals and standing spending rules

Approve, ask for more bids, or decline. Pre-approve routine repairs by trade and dollar limit.

    Works today
  • The 2 a.m. emergency call chain

The AI phones people in order until a person approves the cost — before any contractor is booked.

    Works today
  • Pause switch and “take this job offline”

Stop the AI for one job or the whole company. People can still work by hand.

    Works today
  • Step-up and a five-second undo on money steps

A PIN or Face ID before money moves; a short undo window after a manager approves.

    Works today
  • Private message threads, one per job

Tenant and manager in one thread; owner and manager in another.

    Works today
  • Email, in-app alerts and push notifications

Quiet hours by default; critical emergency alerts still come through.

    Works today
  • Data export

One download of the company's records, including the full decision history.

    Works today
  • Text messages (SMS)

Tenants and vendors can be updated by text, alongside email, in-app and push.

    Works today
  • Live search for new repair companies on Google and Yelp

Find companies beyond your own roster when none of your Partners fit the job.

    Works today
  • More than one language

Tenants can be set up in the language they actually use.

    Works today
  • Two-way calendar sync

Visits sync both ways with the calendar you already keep.

    Works today
  • Live link to AppFolio, Buildium and other property software

Today MaintenanceTech hands information off as an exported file.

05 · Arizona beta

Both offerings are in the Arizona beta.

The Arizona beta is open — we're seeking pilot and design partners. It isn’t general sign-up: we take on a small number of operations in Arizona, run the platform against their own baseline, and change it on what we learn.

  • You run it on your real operation, not a sandbox.
  • Measured against how the work goes today, by you.
  • A direct line to the people building it, and a say in what gets built next.
  • No customer names published, and no claims made on your behalf.
