AI voice calls
K3YHOLD uses an AI assistant to place and take phone calls that coordinate maintenance work — confirming a booking with a vendor, checking a job is done, asking a property owner to approve a repair. This page explains what we disclose on those calls, how they are recorded, and how to stop receiving them.
You are always told it is an AI
Every K3YHOLD call opens by identifying the assistant as an AI, naming the property management company it is calling on behalf of, and stating that the call may be recorded. That disclosure is delivered before anything else is discussed, and it cannot be skipped or talked over — if you speak during it, the assistant finishes saying it anyway.
We keep a record, for every call, of whether that disclosure was actually spoken. It is confirmed against the transcript of what the assistant said, not simply assumed because the call was placed.
How consent works
For vendors and service companies, these are business-to-business calls about a specific job you have been assigned or asked to quote. They are never sales or marketing calls. After the disclosure, continuing the conversation is your consent to the call and to its recording. Hanging up, or saying you do not want to continue, ends it — and telling us to stop calling is honoured permanently (see below).
For residents and property owners, consent is collected in advance, in your K3YHOLD portal, before we ever call you. You can withdraw it at any time from your portal settings, and no further AI calls will be placed to you.
Recording
Calls may be recorded and transcribed so that what was agreed — an arrival window, a price, an approval — can be checked later by the people involved. Recordings and transcripts are used to run and improve the service and are not sold or shared for marketing. You can ask us for a copy of a call you were on, or ask us to delete it, using the contact details below.
When we call
Calls are placed during normal business hours in the local timezone of the person being called, except where you have asked for a specific callback time, or in a genuine maintenance emergency — a flood, a gas smell, no heat in freezing weather — where reaching someone quickly is the point.
How to stop the calls
Tell the assistant on any call that you do not want to be called again, or email info@r3plic8.com with the number. We add it to a do-not-call list that blocks every future automated call to that number across every property management company using K3YHOLD — not just the one that called you.
Vendors: opting out of automated calls does not remove you from a company’s vendor list. Your property manager can still reach you directly, and job details continue to arrive by email.
If you think a call should not have happened
Email info@r3plic8.com with the number that was called and roughly when. We can tell you which company the call was placed for, what job it was about, what the assistant disclosed at the start, and how the call ended. If it should not have been placed, we will say so.
Text messages
Voice calls and SMS are separate, and consenting to one is not consenting to the other. Our messaging terms are at k3yhold.com/sms-terms.
Privacy
Phone numbers, recordings, and transcripts are handled under the terms in our privacy policy. Calls are carried by our telephony subprocessor for the sole purpose of connecting them.
