Is there AI for property managers?

Yes, and 2026 is the year it became real rather than promised. Industry adoption of AI in property management jumped from 20% to 58% in a single year, though only 8% of firms have fully automated any workflow (Buildium/NARPM, 2026). The tools that work are narrow: AI maintenance coordination — voice agents that handle intake and vendor scheduling — plus triage that classifies urgency and standing-rule engines for owner approvals. Beware anything that claims full autonomy — the failure mode is expensive and it lands on the owner.

What is K3YHOLD?

K3YHOLD is an AI voice agent that runs property maintenance coordination. When a tenant reports a problem, it calls the tenant to capture the details, calls vendors to source and schedule the work, and gets the owner's approval — by phone. The property manager stops playing telephone.

Who is K3YHOLD for?

Residential property managers and landlords who lose their week to maintenance coordination, self-managing owners who run their own doors, and the trades who service them. Tenants get their own app; vendors need no app or login at all.

Is K3YHOLD a chatbot?

No. It is a voice agent that places and takes real phone calls, and it is not autonomous. Owners set spending rules; under the limit the agent acts, and above it — or whenever it is uncertain — it stops and hands the decision to a named person. Nothing irreversible happens without a recorded human decision.

Does K3YHOLD replace my property management software?

No, and that is deliberate. Your PMS is the right tool for records, accounting, and ledgers. K3YHOLD works alongside it and runs the coordination loop next to it, so nobody has to rip anything out.

How it works

What does K3YHOLD actually automate?

Four phone loops. Tenant intake: the agent calls the tenant and captures structured details and urgency. Vendor sourcing: it ranks and dials vendors in sequence and normalizes the quotes. Booking: it confirms the window with both sides and dispatches the job sheet. Owner approval: standing rules auto-approve inside the owner’s own limits, and anything above escalates.

What happens when a tenant reports a problem?

The agent calls them, asks the questions that matter for that category of problem, captures structured fields rather than a paragraph of free text, and classifies urgency. A genuine emergency is escalated immediately rather than queued.

Can the AI spend my money?

Only inside limits the owner set themselves, and only after the owner confirmed those standing rules. Above the limit, the agent parks the decision with the amount, the governing limit, and the reason it stopped, and waits for a human. A timer can surface a decision, but a timer never authorizes a spend.

What happens on a 2am emergency?

Life-safety goes to 911 first — that is the first thing the agent checks and it is not negotiable. After that it works a pre-vetted emergency roster rather than comparison-shopping at 2am, and the owner wakes up to a written summary instead of a missed call.

Do my vendors need to download an app?

No. There is no vendor portal and no vendor login, by design. Vendors are reached by phone and receive a job sheet; adding a login for a plumber who is already driving to the job would just be one more thing that does not get used.

The voice calls

Do you tell people they are talking to an AI?

Yes, on every single call. The agent identifies itself as an AI assistant and says the call may be recorded, before anything else happens. That disclosure is enforced in code and verified from the transcript afterward, not left to the model to remember.

Are calls recorded, and can I hear them?

Yes and yes. Every call is captured as audio plus a turn-by-turn transcript, and the recording is available to play back. Retention is configured per organization.

How do I stop K3YHOLD from calling me?

Tell the assistant on any call that you do not want to be called again, or email info@r3plic8.com with the number. It goes on a do-not-call list that blocks every future automated call to that number across every company using K3YHOLD — not just the one that called you.

What if a call goes badly?

Every call is scored automatically after it ends, and calls in the uncertain band are queued for a human to grade. Quality problems get caught by review rather than by a customer complaining. Voice also has a portal fallback, so nothing depends on a call succeeding.

Does K3YHOLD send text messages?

Not yet. Text messaging is built but deliberately switched off until carrier registration is complete, and consent capture is a blocking prerequisite before it turns on. When it does, it is transactional only — visit confirmations, job sheets, approval requests — and every message honors STOP immediately.

Your software and your data

Which property management systems does K3YHOLD work with?

It is PMS-agnostic and runs alongside AppFolio, Buildium, Rentec, Yardi Breeze and others. To be precise about today: there is no native API integration yet. The closed job is handed back as a structured export that the manager applies. Native sync is the funded next step, and we would rather say that plainly than imply it already exists.

Does K3YHOLD work if I do not use a PMS at all?

Yes. Self-managing owners with a handful of doors often do not run one, and the owner-operator app stands alone.

Who can see my data?

Every request is gated at the route layer and backstopped by row-level security in the database itself, so one company cannot read another’s records even if application code got it wrong. Tenants see their own data, managers see their portfolio, owners see the properties they own. Every state change is written to an audit log.

Is K3YHOLD SOC 2 certified?

No. SOC 2 is on the roadmap and we are not certified today. The access-control and audit posture is being built to meet those controls ahead of formal certification, but we will not claim a certificate we do not hold.

Where is my data stored?

K3YHOLD is a US-only product and runs on US infrastructure. Specific hosting details are shared during the beta discovery conversation.

How much does K3YHOLD cost?

We have not set pricing, and there is nothing to review when you apply. Pricing gets worked out with the first beta group rather than guessed at in advance, and nobody is charged anything during the application process.

How do I get into the beta?

Apply at k3yhold.com/start and pick the lane that fits — operator, owner-operator, vendor, or other. It takes about a minute, there is no pricing to review and no obligation, and we reply within a couple of business days.

What does onboarding involve?

Founder-led setup for management companies, with self-serve wizards handling the long tail. Owner-operators can usually finish setup themselves in under an hour.

Is it spelled Keyhold or K3YHOLD?

The company is K3YHOLD — a numeral 3 in place of the E — and the website is k3yhold.com. It is pronounced exactly like "keyhold", which is why people often type it that way.
